Undergraduate Document Submission – Transcripts
The Undergraduate Document Submission (UGDS) facility has been introduced to make the provision of the High School/university transcript as straightforward as possible for our applicants. The following guide will let you know what format the transcript should be in and how to convert the transcript to a single multi-page PDF file that you can upload using the UGDS Transcripts Upload facility.
To determine whether or not you are required to submit a transcript (High School and/or university), please refer to FAQ – “Am I required to submit a High School Transcript?”on our COPA webpage.
Please note that this facility is only for the submission of your transcript.
Please do NOT include references, detailed project work or any non-academic achievements.
The overall file size should not exceed 3MB. This should be achievable using the correct scanning settings.
All other supporting documents should be sent directly to the College you have applied to, or to the Cambridge Admissions Office if you have made an open application.
If you are completing the Cambridge Online Preliminary Application (COPA) as part of your application then please wait until you receive your COPA reference number before uploading your transcript.
By ‘High School Transcript’ we mean a record of your academic achievement to date in your secondary school/college examinations, which are usually taken in the last two years of schooling (if you are currently studying at a university, you are required to provide a university transcript). For most students, the transcript will be an official document or certificate from your school/college/university which lists the subjects you have studied and the grades/qualifications that you have obtained. Please provide as much information on your examination performance as possible. Where possible, please also include details of any internal assessments that you may have undertaken.
If the original transcript is not in English, you will need to have it translated and authorised, ie signed or stamped, by an official translation service or by your school/college/university.
PDF Creation Guide
We require the High School Transcript to be uploaded as a single PDF document. Where a transcript covers more than 1 side of A4 paper, you will be required to create a single multi-page PDF.
The overall file size should not exceed 3MB. This should be achievable using the correct scanning settings.
- In the first instance you should contact your school/college/institution and request your transcript as a single PDF document.
- If your school/college/institution provides you with a paper copy then you are required to scan the document creating a single multi-page PDF. The following steps should apply, regardless of what scanning software you use:
- Place the first page of your transcript in the scanner
- Select PDF as the file format
- Select a resolution that balances image quality and file size
- Start the scan
- Check the preview image to ensure that it has scanned correctly
- If correct, select the option to print/add another page
- Continue until all pages have been scanned
- Save the document as a .pdf file type
- Open the file and check that it looks okay in Adobe Acrobat or other PDF viewer
